Distributor inboxes are hostile territory. We coach teams to ship field notes as three-photo sequences with a single question: “Can we align on this bay by Thursday?” The photos follow a framing jig so recipients do not waste time guessing angles.
We pair the note with a tiny activity log snippet—who saw the shelf, what time, what weather flag. That keeps conversations in operational language and avoids sounding like a system alert.
When distributors push back, we document the refusal in the same thread format so HQ sees the gap without spinning a crisis. It is boring governance, and that is the point.
